Bonner Scholar Program :
Change of Status
This form must be used to change the current status of a student in the Bonner Scholars Program.
(Note: The criteria for selecting replacement Bonner Scholars can be found Section 1.4 of the Bonner Scholar Program Rules.)
The change of status home page has four sections.
- Available Actions: the only available action is to begin a "New Change of Status Request"
- Pending COS Requests: this lists the COS requests that have yet to be reviewed and approved by the Foundation. It gives the student’s name, the change of status type, the effective date of the change, the status of the request (pending or acknowledged), and a “cancel” text button, which you can use to cancel the COS request.
- Recent COS History: provides the same information as in pending COS requests, but for COS that have been acknowledged.
The criteria for selecting replacement Bonner Scholars can be found Section 1.4 of the Bonner Scholar Program Rules.
Step 1: Selecting the Student
In student information you can select the student from the dropdown menu.
Note: students who are currently Withdrawn or Alumni will not show up here. Please contact the Foundation administrator regarding any change of status needed for those students.
If a student is not on the pull-down menu:
If you are submitting a replacement or late fill, you must first add the incoming student.
Click on the text button “add the incoming student” (below)
...which will take you to the Profiles > Student > Add page.
Once you've added the student, you'll need to return to the Change of Status form page and they will now appear in the pull-down menu (above).
Step 2: Selecting the type of status change
Once you have selected the student, you select the appropriate status type from the second dropdown menu in the status information subsection. The change options include:
TERM DEFINITIONS
These terms are defined as follows:
- Activate Late Fill: The student is a freshman who joins the program after the New Freshman Student List has been locked.
- Go on Leave: for the student who is taking a temporary leave of absence from the Bonner Scholars Program.
- Return from Leave: for the student who is returning to the Bonner Scholars Program from a semester(s) leave of absence.
- Withdraw from Program: for the student who is withdrawing from the Bonner Scholars Program (or the school) or is dismissed from the program (or the school).
- Activate Replacement: for the student who is replacing a Bonner Scholar who withdrew or was dismissed from the program.
- Await Loan Reduction: for the student who has completed their eight semesters and two or three summers in the Bonner Scholars Program, but has not yet requested his/her loan reduction award.
- Receive Loan Reduction: for the student who is receiving his/her loan reduction in the next term/semester's allocation report.
- Alumni: for the student who received the loan reduction last term and is now an alumni/a of both the school and the program. This is the final status for students and should be automatically submitted by BWBRS.
Once you've selected the student and the nature of their status change, click on the Go to COS Request Form button (below).
Step 3: Fill out Change of Status Form
The full Change of Status Form has three subsections, which allows you to edit the information and make any necessary comments.
STUDENT INFORMATION
This show basic information on the student selected.
If you have reached this page but the wrong student is listed, you can select the "Change" text button to the far right to change the student.
STATUS INFORMATION
This section lists the change of status selected and the date.
Pay close attention to the effective date of status change. A student may withdraw from the program at any time. However, if you want the student to be listed in that semester’s registrar’s list, you must set the date to the first day of the semester the student is to be active.
ADDITIONAL INFORMATION
This section indicates the reasons for a student going on leave or withdrawing from the program. Also, you may note who the student is replacing, if they are a replacement Bonner.
Please provide an explanation for any withdrawn student changes.
SUBMIT REQUEST BUTTON
When you are complete with the form, hit the Submit Request button at the bottom of the screen.
This will submit the Change of Status request (in the form of an email alert) to the Foundation for review. You will receive an email alert when the Foundation administrator has approved or acknowledged your COS request.
