Bonner Scholar Program :
New Freshmen List
The New Freshmen List module enables campuses to submit incoming first semester freshmen Bonner Scholars for approval by the Bonner Foundation. The students can be submitted individually or as a full group at any time prior to the start of the Fall semester.
Reminder: all other Bonner Scholars must be entered into BWBRS using the Change of Status module (see below). This includes freshmen replacements or late-fills who enter in the Spring semester, as well as any other replacement Bonner Scholar.

Step 1: Create Next Year's New Freshmen List
To create the form for the next school year, use the “Create Next Semester’s New Freshmen List” button at the top of the page. This option will appear if the other listed Graduation Years are locked (see below).
Once created, the link to the next year’s list will be found in the list view page. Click on the graduation year for the next incoming class to pull up the data entry screen.
The New Freshmen Approval form (below) has four sections:
AVAILABLE ACTIONS
There are two available actions for the campus advisors:
- Add a Prospective Students: this text button takes you to the form for adding new students into BWBRS (described in detail below);
- Notify the Foundation to Review the List: this text button takes you to an email message form for alerting the Foundation to review the new students you have submitted for approval.
STATISTICS CALCULATOR
This calculates the profile of the selected group in terms of total number, percent male and female, and average estimated family contribution (minus the top 15%).
The default setting is “Submitted and Approved” students, but there are other combinations that you can access from the pull-down menu.
STUDENT LIST
The lists are divided into the five status subgroups that students move through during the process:
- Prospective: the prospective students are those whom you have just entered into BWBRS but who have not yet been submitted to the Foundation for approval. To the right of their names is a “Submit” text button that you use to move them to the next stage of the process. Note: This section does not appear for the Foundation administrators. In order for the Foundation to see the students, you must use the “Submit” text button.
- Submitted: the submitted students are those who you want the Foundation to approve; next to their names is a text button that allows you to “unsubmit” a student for whatever reason. At this point you must notify the Foundation that you have students ready to be approved.
- Approved: once approved by the Foundation, the students are moved to the approved subsection; next to their name is a “Accept / Deny” text button which you use once you hear back from students to whom you have sent Bonner Scholarship award letters.
- Accepted: after students accept your invitation to join the Bonner Scholars Program, you need to return to this form to click on the “Accept” text button to move them to this section. BWBRS will automatically place “accepted” incoming freshmen onto the Fall Registrars List.
- Denied: if students deny your offer of the Bonner Scholarship, you click on the “Deny” text button to move them to this section.
COMMENTS
Each time you notify the Bonner Foundation to review your submitted student list (see below) or the Foundation notifies the campus administrators to review the approved student list, the text and date/time of the notification emails are saved under this subsection.
Step 2: Add Prospective Students (Bonner Scholars)
To bring up the Add Student form, click on the “Add a Prospective Student” text button in the Available Actions section.
PROGRAM PARTICIPATION
The first subsection is where you indicate that the new student is a Bonner Scholar and their graduation year and starting semester.
- Program Choices: when you go to this form from the New Freshmen List module (as described above), the Bonner Scholar program check box will be pre-selected and the “type” menu will be set to “New Freshman.”
Note: If you came to this page from the Profiles > Students > Add page, then you will need to manually select these options. Be sure to select the appropriate Program Participation options since this is the only way the system knows to put a prospective, replacement, or late fill Bonner Scholar into the proper place (e.g., in this case, into the New Freshmen List form you will be using to submit names to the Foundation for approval). If need be, you may go back later to assign students to the other program options: Bonner Leader, Federal Work-Study, and Bonner AmeriCorps.
- Starting Semester: again, this option is pre-selected if you came to this form from the New Student List page (above). If you came directly from the Profiles > Students > Add page, then you will need to manually indicate the starting semester.
- Graduation Year: this should be the student’s entering graduation year class.
BASIC INFORMATION
The next subsection has fields for the student’s name, nickname, and email address. We only require that you include a first and last name at this point.
BONNER SCHOLAR REQUIRED
The next subsection asks three questions required by the Bonner Foundation when it reviews the profile of an incoming class of Bonner Scholars during the approval process.
HOME/PARENT ADDRESS
The final section requests address information for the incoming student.
Once all these pieces of information are entered, you should click on the Save button.
Step 3: Submitting, Approving, and Accepting the Prospective Student
After you hit Save, you will return to the New Freshman List screen. You should see the student you just entered in the Prospective Student subsection.
- Moving from Prospective --> Submitted:
Select the “Submit” text button to move the student to the Submitted Students section from the Prospective list. Note: The Foundation will not see any of the students in the Prospective Student subsection. Students must first be submitted in order for the Foundation administrator to view them.
- Moving from Submitted --> Approved:
Once you've moved students to the submitted section, choose Available Actions to “Notify Bonner Foundation to Review List”. A Foundation administrator will then review your list and notify via BWBRS email you when they have approved your students. You are able to have the Foundation approve one or more new freshman at any time.
- Moving from Approved --> Accepted or Denied:
Once your student is approved, you may notify the student that they are welcome to join the Bonner Scholars Program. When the student accepts the offer and states their intention to enroll, you may move them to Accepted by selecting the “Accept” text button. If the student should refuse the offer and enroll elsewhere or not join the program, then you move them to Denied by selecting the “Deny” text button.
All accepted students will be automatically be moved to the Fall registrars list when it is created.
Note: If the student decides to change their mind, you may Un-Accept a student and then, once they move back up one section of this page, you can then select Deny for them.
